Understanding our services and where Dynamics 365 fits.

Xpert Dynamics Solutions works across Microsoft Dynamics 365 CRM and the Power Platform, including Dynamics 365 Sales, Customer Service and Field Service. Our broader capabilities also cover Power Apps, Power Pages, Power Automate, Power BI, Dataverse and integrations with related Microsoft business applications. We help with new implementations, improvements to existing systems, custom development, data migration and ongoing support. The right combination depends on your business processes and the systems you already use.

We work with organizations that need to bring customer, service and operational processes into a more connected system. Relevant sectors include manufacturing, logistics, professional services, sports, hospitality, healthcare, nonprofits and other service-based organizations. Every industry has different workflows, so we start with how your teams work rather than applying the same CRM setup everywhere. We can discuss your specific industry and requirements during an initial conversation.

Before recommending licenses, we look at who needs access, what each person needs to do and which Dynamics 365 or Power Platform features are required. We also check whether existing Microsoft subscriptions or application entitlements can be used, and whether integrations or external users affect the design. Microsoft licensing and pricing can change, so the final license plan should be validated against Microsoft's current terms before purchase. We focus on helping you choose an appropriate solution rather than assuming every user needs the same license.

Technical Capabilities & Customization

Building the right functionality without unnecessary complexity.

Yes. Dynamics 365 is designed to be configured around business processes, and we can extend Sales, Customer Service or Field Service where standard features do not fully meet your needs. Examples include tailored forms and views, approval steps, business process flows, service workflows, automation and custom interfaces. We review what can be achieved with standard functionality first, then recommend customization only where it provides clear value and can be maintained over time.

Yes. We develop model-driven and canvas Power Apps, Power Pages experiences, and Power Apps Component Framework (PCF) controls for requirements that need a more specialized user interface. These can sit alongside Dynamics 365 and Dataverse to give employees, customers or partners a more suitable experience. The design takes account of who will use the solution, how it will be secured and how it will work on the devices your teams use.

We start with the business requirement and evaluate the simplest sustainable option. Standard configuration is usually preferred when it can meet the requirement; Power Automate and other low-code tools can help with straightforward workflows. Custom development, plugins, PCF or APIs are considered when there is a clear technical or user-experience need. We also assess performance, maintainability, licensing and the impact of future Microsoft platform updates before choosing an approach.

Yes. Power Automate can help route approvals, send notifications, synchronize information and reduce repeated data entry. Dataverse provides a shared data foundation for many Dynamics 365 and Power Platform solutions. We design the process around the right triggers, permissions, error handling and monitoring so automation is useful in day-to-day operations, not just in a demo. The level of automation depends on your existing systems and the quality of the available data.

Yes. We can help turn Dynamics 365 and Dataverse information into useful dashboards, operational reports and Power BI visualizations. This might include sales pipeline reporting, service performance, workflow status or tailored management measures. Before building a report, we agree on what each metric means and check the quality of the underlying data. Data access, refresh requirements and Power BI licensing are reviewed as part of the solution design.

Implementation & Delivery Process

How we plan, deliver, test and introduce CRM changes.

For an existing system, we usually begin by reviewing the current applications, customizations, integrations, data quality, performance issues and business pain points. For a new implementation, we discuss users, workflows, required outcomes and the systems that need to connect. This gives us a practical view of what can be kept, improved or built, and helps separate immediate priorities from later enhancements. The result is a clearer scope and recommended delivery approach.

A typical engagement begins with discovery to understand your processes and priorities. We then agree on a solution design, configure or build the required functionality, and test it against real business scenarios. User acceptance testing, training, data readiness and go-live preparation follow before the solution is released. The sequence can vary by project, but clear checkpoints and client feedback help keep delivery aligned with the original goals.

Yes. You do not have to restart a CRM project simply because the original implementation is incomplete or the previous partner is no longer involved. We can assess the existing environment, identify broken or unfinished areas, review technical decisions and recommend a recovery plan. Wherever possible, we try to protect the investment you have already made and resolve the most important issues first. Any redesign or replacement work is agreed with you before development begins.

We treat adoption and data readiness as part of implementation, not something to consider at the end. We identify the user groups affected, prepare realistic test scenarios, review data that needs to be cleaned or migrated, and plan training around everyday tasks. Before go-live, we confirm business owners, access, cutover steps and who will handle questions or issues. This helps the solution fit the way people actually work.

Project Timelines

What to expect from a realistic delivery schedule.

There is no single timeline that applies to every Dynamics 365 CRM project. A small configuration change may be delivered relatively quickly, while a wider implementation with complex workflows, integrations and migration can take several months. We establish a realistic plan after discovery, based on the agreed scope, dependencies and how quickly key decisions and test feedback can be provided. We would rather give you a credible schedule than promise an arbitrary go-live date.

Timelines are affected by the number of business processes involved, customization complexity, external systems, API access, data quality, testing requirements and stakeholder availability. Changes to scope and approvals can also affect delivery. We highlight these dependencies early, agree on priorities and look for opportunities to release useful functionality in phases instead of waiting for every enhancement to be finished.

Yes. Not every request needs to become a full implementation project. We can discuss targeted troubleshooting, focused improvements, changes to workflows, reports or integrations, and other smaller pieces of work. An urgent issue is first assessed for business impact and technical risk so the next steps are clear. Timing and availability are confirmed when the request is reviewed rather than guaranteed in advance.

Pricing & Engagement Models

How scope, proposals and ongoing working arrangements are considered.

Cost depends on the scope of work, number of applications, complexity of customizations, integrations, data migration, testing, training and the amount of ongoing support required. Existing technical debt or an unfinished implementation may also influence the effort. We prepare an estimate after understanding your requirements and make the proposed scope and assumptions clear. Microsoft license or third-party subscription charges should be considered separately where applicable.

Depending on the requirement, work can be organized as a defined project, ongoing support and maintenance, or an agreed development-capacity arrangement. Some clients need a complete delivery team for an implementation; others need help with a backlog of enhancements or specialist technical work. The exact engagement model, team availability, billing terms and responsibilities are confirmed in the proposal or service agreement.

A useful starting point is a short description of your goals, the Dynamics 365 applications you use or are considering, the main challenges, the number and type of users, and any systems that need to connect. If you have an existing environment, screenshots, diagrams or a prioritized list of issues may help. We may also ask about data migration, preferred timelines, security needs and key stakeholders. You do not need a fully written specification before speaking with us.

Once the scope and commercial terms are agreed, onboarding typically covers project contacts, goals, access arrangements, delivery checkpoints and any information needed to begin. For existing environments, access is requested according to the level required for the work. Start dates depend on team availability, permissions, and client readiness, and are confirmed during planning. We aim to make responsibilities and next steps clear from the beginning.

Integrations & Data Migration

Connecting your business systems and preparing reliable data.

Yes. Dynamics 365 can be connected with Microsoft 365, SharePoint, websites and other business applications where suitable integration options are available. Depending on the systems involved, this may use standard connectors, Power Automate, Microsoft Graph, APIs or custom integration services. We consider data flow, authentication, error handling and ongoing monitoring before choosing the approach. Integrations are assessed individually because capabilities and permissions differ between systems.

Yes, integration with Dynamics 365 Business Central, Dynamics 365 Finance or another ERP may be possible. The right method depends on which records need to move, where each record should be maintained, the ERP version and the available integration interfaces. We review whether Microsoft-supported connectors or synchronization options fit your needs before proposing custom integrations. We also define how errors, duplicate records and ownership of shared data will be handled.

Yes. We can help plan and carry out a move from a legacy CRM or an on-premises Dynamics CRM deployment to a supported Dynamics 365 cloud environment. The work may include assessment, mapping, data cleanup, replacement of incompatible customizations, integration changes, migration testing and cutover planning. Not every on-premises feature transfers directly to the cloud, so we review dependencies before estimating the effort or confirming a migration approach.

We begin by identifying the records and relationships that need to move, then agree on field mappings, transformations and rules for duplicates or incomplete data. Trial migrations help expose issues before final cutover. We validate record counts, key relationships and business-critical samples with your team, and document exceptions requiring attention. Final sign-off should come from the people who know the source data and the processes it supports.

Support, Maintenance & CRM Recovery

Keeping live environments stable, useful and supported.

We support Dynamics 365 environments beyond the initial go-live. Depending on the agreed support arrangement, this can include investigating issues, monitoring or improving existing processes, modifying forms and workflows, updating reports, maintaining integrations and delivering enhancements. We can also help prioritize a backlog of changes so the system continues to support your business as requirements evolve. The exact coverage is set out in the service agreement.

Yes. We can investigate slow processes, failed plugins or flows, integration errors, inconsistent data behavior and other problems affecting an existing CRM environment. We also help organizations recover implementations that have stalled or no longer meet operational needs. Troubleshooting begins by understanding the impact, reviewing available logs and tracing the root cause. We then recommend fixes with attention to dependencies, testing and the stability of the live system.
Xpert Dynamics promotes a 24/7 Platinum Support offering for organizations that need extended operational coverage. The services included, support channels, issue priority levels, response targets, escalation routes and any exclusions should be defined in the signed support agreement. Critical production incidents generally need a different response process from routine changes or improvement requests. We review your business hours and operational risk before recommending the appropriate support arrangement.

Microsoft regularly updates Dynamics 365 and the Power Platform. We can help assess the impact of those updates on customizations, plugins, flows, integrations and important business processes. For significant changes, we recommend validating the affected areas in a non-production environment, carrying out regression tests and planning a controlled release. Clear documentation and change tracking reduce disruption and make future maintenance easier.

Security & Data Protection

Designing access and governance around business requirements.

Dynamics 365 and Dataverse support role-based access so people can be given the permissions needed for their jobs. We can help design security roles, teams and record-access rules around business responsibilities, including who should be able to view, create, edit or share different information. The design should follow least-privilege principles and be tested with real user scenarios. We also review access for administrators, service accounts and integrations where relevant.

We plan work involving customer data around agreed access permissions, secure authentication and the minimum level of access needed to complete the task. During migration or development, the handling of production information, test copies, credentials and third-party connections should be agreed with the client in advance. Retention, confidentiality and access-removal requirements belong in the project or support arrangements. Specific contractual data-protection commitments must be confirmed before work begins.

Dynamics 365, Dataverse and Microsoft cloud services offer security, auditing and governance features that can support an organization's control framework. Depending on the environment, this may include access restrictions, auditing, environment separation, monitoring, data-loss-prevention policies and approval controls. We can help configure relevant technical controls, but whether they meet a particular regulation depends on your policies, licensing, industry and legal obligations. Compliance certification or regulatory approval should never be assumed solely because a feature is enabled.
